Key Responsibilities
The Pre-Owned Assistant Sales Manager is the leader of the sales team. They will be responsible for building and supporting a team of highly productive salespeople that can achieve sales and revenue growth expectations and provide a high standard of customer service. This individual will plan, organize, direct, mentor and evaluate subordinate sales staff, ensure compliance with Company policies and procedures, and drive the success of the department through the focus and achievement of the required performance KPI’s. The Assistant Sales Manager is directly responsible for developing a passionate, customer-focused sales team that achieves repeat business through the development of strong relationships and by regularly exceeding customer expectations. The Assistant Sales Manager will reinforce the vision of the company of building meaningful and lasting relationships through mutual respect, honesty and empowerment. Through this the manager will cultivate a culture of strong ethics and respect for both our employees and our customers. Duties and Responsibilities
Operations
There are several key responsibilities which are the primary or supporting responsibility of this position:
- Lead on vehicle appraisals, including regular follow-up on trade-ins not won, appraisal accuracy and coaching the sales team in this area.
- Champion for acquisitions of pre-owned inventory, including but not limited to daily service drive thru acquisition processes, managing logistics of trade-ins, grounding lease returns, salesperson bonuses for vehicles acquired.
- Ensuring that all online merchandising including quality photos and descriptions are maintained on all vehicles.
- Maintaining a professional and premium physical display of pre-owned inventory both in designated outdoor and indoor locations, including appropriate point of sale materials.
- Overseeing the efficient and accurate grounding and management of service loaner and demonstrator vehicles to ensure they are progressed through reconditioning in a timely manner.
- Backup for reconditioning approvals, initial vehicle pricing and pricing maintenance.
- Supporting group inventory turn policy and ensuring its compliance, including necessary write-downs, hard turn policy, and competitive vehicle disposal actions that include offering all vehicles to other group locations.
Core Responsibilities
In conjunction with other colleagues in the Sales Management team, below are core responsibilities expected for this position and all other Sales Managers:
- With Management Team, develop and implement monthly promotional strategies.
- Provide Sales Representatives with up-to-date product and inventory information.
- With Management Team, plan and implement sales-incentive programs as required.
- With Management Team, plan budgets and authorize expenditures.
- Encourage a high level of extended warranty and other protection and accessory plans.
- Liaise with finance, service, and other departments to help facilitate sales.
- Liaise with service management on day-to-day service/sales operations.
- Create and maintain a high level of morale and enthusiasm for Volkswagen products and services.
- Implement and execute the company's marketing strategy and business plans.
- Complete monthly formal reports of Sales team performance.
- Agree to achievable delivery timetables.
- Set training standards and operation performance testing.
- With Management Team, develop annual budgets and targets.
- Manage compliance with Provincial/Territorial, Local and Federal regulations.
- Ensure compliance with company standards for cost control, waste reduction, quality, safety, and complete and on-time delivery.
- Vehicle inventory management. Monitor and measure used vehicle inventory pipeline.
- Send reports to sales team with current available inventory weekly.
- Review analyses of activities, costs, operations, and forecast data to determine department or division progress toward stated goals and objectives.
- Greeting all customers upon arrival and as necessary personally following up with them before or after their visit.
- Conduct shift meetings at the start of every shift lead by the manager, including but not limited to reviewing previous days’ visits and phone calls, upcoming sales appointments, pending vehicle deliveries.
- Desk and manage pre-owned vehicle transactions.
- Ensure follow-up tasks are entered and completed in One Eighty by sales representatives, with quality notes.
- Promote and ensure the regular use of videos for customer interactions including prospective and returning clients.
- Other duties as required.
Customers and Client Relations
- Address customer inquiries and complaints. Ensure Easy, Efficient and Enjoyable customer experiences.
- Encourage the development of lasting client-dealership relationships.
- Coach teams on best practices.
- Ensure staff support is available for coverage and delivery of vehicles as required.
- Promote 5-star Google reviews and address in a timely manner any reviews falling short of a full rating.
Performance KPI Expectations
The Pre-Owned Assistant Sales Manager is responsible for the achievement of the following performance metrics:
- Achievement of the internal financial business plan.
- 100% of internal Used Vehicle delivery volume as well as the Volkswagen CPO BPO (Business Planning Objective).
- Used Vehicle inventory turn of no less than 8x per year with the goal of 12x per year or greater.
- Maintaining a CPO SSI in Top 3 in GTA.
- Achieving and maintaining an average front end gross profit of equal to or higher than the Metro GTA average.
- Monitoring online merchandise to ensure 90% or more of all inventory has quality images and descriptions at all times.
- Supporting reconditioning estimate approval within 24 hours of estimate received, and a total turnaround time of 4 days or less.
- Supporting the achievement of 100% of internal Used delivery volume.
Staff Management and Leadership
- Model and champion Volkswagen Automotive values.
- Build and retain an effective team of sales representatives.
- Onboarding of new hires in a planned and organized manner.
- Provide expert sales and negotiation support to all sales representatives.
- Monitor sales calls and videos, reviewing recordings and coaching in real time with the sales team.
- Determine staffing requirements and hire or oversee hiring of staff.
- With Management Team, set and manage the achievement of monthly team and individual sales targets.
- Set sales expectations for each of Volkswagen Automotive sales representatives including customer expectations, as well as quota achievement.
- Provide coaching and mentoring to the sales team.
- Assist junior sales staff with negotiation, closing of deals.
- Plan, direct and evaluate the operations of the sales personnel.
- Perform monthly performance reviews of sales staff with the other sales managers.
- Measure the activities of each sales representative to assure that their marketing activities will produce intended sales production.
- Manage DealerPILOT time and attendance.
- Complete sales payroll and commissions.
- Liaise with Payroll and Accounting for timely processing of accounts payable and payroll.
- Perform other duties as required.
What you bring to the role
The key skills and qualities of a Pre-Owned Assistant Sales Manager:
- High School Diploma, G.E.D. or equivalent.
- Post Secondary Degree or Diploma in a Business, Automotive or other related area.
- Current Provincial Vehicles Salesperson’s License, OMVIC.
- 5 years of experience in a progressive automotive sales management role.
- 5 plus years of experience in new and preowned Automobile Sales. Service experiences an asset.
- Proven sales abilities.
- A passion for customer service, VW and all brands of automobiles.
- Extensive experience in sales management and particularly that of staff motivation and development.
- Strong working knowledge of motivation, training, appraisal and general supervisory skills.
- Leadership ability, team building, coaching and mentoring skills.
- Able to effectively communicate both verbally and in writing.
- Able to build and maintain lasting relationships with corporate departments, key business partners, and customers.
- High level of proficiency with Microsoft Office Productivity Suite.
- Well-developed problem-solving skills and ability to develop conceptual alternatives.
- Able to find used vehicle methods and principles and ability to incorporate them into existing maintenance practices as needed.
- High degree of resourcefulness, flexibility, and adaptability.
- Must have the ability to plan, organize, develop, implement and interpret the programs, goals, objectives, policies, procedures, etc.
